Eaglesoft Treatment Plan Phases, and the Ordering Trap That Breaks Your Numbers

September 2026 · Dr. Schmidt · Reflections Dental Care, Oklahoma City, OK

Eaglesoft can do something the others cannot, and it also has the nastiest hidden trap of the four. Both are worth ten minutes of your attention, because one of them is quietly producing wrong numbers in practices right now.

Phases are numbers on a line

In the Treatment Plan window, services carry a phase number, and you reorder services with the arrow buttons. Click a column header to sort by phase, tooth or status. Competing plans are handled as separate treatment plans, usually disambiguated by putting a date in the description. View All Items shows services across every plan at once, and right-click moves a service from one plan to another.

As with Open Dental, the phase is an attribute on a row rather than a container that owns anything. Unlike Open Dental, it is at least a number, which sorts the way you expect.

Suppress Item Detail is the best patient-facing option in the category

The Presentation button generates the patient's document, and it has an option called Suppress Item Detail. Turn it on and the patient sees subtotals per phase and a grand total, with the individual service fees hidden.

That is genuinely the cleanest patient-facing fee presentation any of the four majors ships with. The patient sees what each stage costs without a column of procedure codes inviting them to price-shop your crown against the internet. If you use Eaglesoft and you are still handing out itemized sheets, this alone is worth the visit.

The trap: phase order is not estimation order

This is the one. Read it twice.

The order your services are phased and the order Eaglesoft estimates insurance against are two different things. Insurance is estimated in the order services were entered, not the order they are phased. Rearranging phases does not re-sequence which service consumes the deductible or eats into the annual maximum.

So a plan can look perfectly phased on screen while the per-phase dollar split is wrong. The grand total is right. The number you quoted for phase one is not, because the software applied this year's benefit to a service that is not happening until phase three.

The fix is three steps, in order. Assign your phases. Then separately use the arrow controls to put services into the correct insurance sequence. Then hit Recalc Ins. Skip the middle step and the phase totals you present are fiction.

If you present phased treatment in Eaglesoft, go check a live case before you read any further. Most people have never been told these are separate orderings.

What it still cannot tell you

Assume you have done all of it correctly. Phases assigned, estimation order fixed, insurance recalculated, Suppress Item Detail on, a clean document in the patient's hands showing exactly what each stage costs.

Every one of those figures is still a procedure code, times a fee schedule, adjusted for insurance.

Which means the beautifully presented phase two total tells you what phase two bills. It does not tell you what phase two costs you. Six crowns in the posterior and six crowns across a high anterior lip line carry the same codes and the same fees. The posterior six are forgiving on margin placement and forgiving on shade, and you seat them. The anterior six are neither, so you photograph the shade, try them in, send them back, try them in again, pay a much larger lab bill, and the patient judges the result in the mirror for twenty years. Same lines on the plan, same number, nothing like the same case. Eaglesoft has nowhere to put that information, so it cannot give it back to you.

The presentation problem, Eaglesoft largely solved. The pricing problem is a different problem, and no practice management system on the market is trying to solve it.

Eaglesoft has nowhere to put chair time and lab cost, so we built somewhere that does. The free dental treatment plan template uses the same phase structure you already sequence in Eaglesoft, with what each phase costs you beside what it is priced at. PDF and Excel, plus a case fee worksheet that starts from your hourly number.

Questions people ask

How do phases work in an Eaglesoft treatment plan?

Services carry a phase number in the Treatment Plan window, and you reorder services with the arrow buttons. Clicking a column header sorts by phase, tooth or status. A phase is an attribute on the service line rather than a container.

How do I show phase totals without showing every fee in Eaglesoft?

Use the Presentation button with Suppress Item Detail turned on. The patient sees subtotals per phase and a grand total while the individual service fees stay hidden.

Why are my Eaglesoft phase totals wrong even though the grand total is right?

Because phase order and insurance estimation order are separate. Insurance is estimated in the order services were entered, not the order they are phased, so benefits can be applied to a service scheduled for a later phase. Fix the entry order with the arrow controls, then use Recalc Ins.

What does Recalc Ins do in Eaglesoft?

It refreshes the estimated insurance on a treatment plan after benefits, fees or the service order have changed. It is required after you reorder services, not optional.

Can Eaglesoft tell me whether a phase is profitable?

No. Every figure it produces traces back to a procedure code against a fee schedule, adjusted for insurance. Chair time, lab cost and unbilled appointments are not inputs to it.
